Ask Claude about your gym: connecting an AI assistant to GymLeb

Connect Claude or another AI app to GymLeb and ask about revenue, unpaid members, renewals and attendance in plain words. Read-only, permission-aware, logged.

Reports answer the questions someone thought to build a report for. Owners ask other questions all the time: "Who owes us more than 50 dollars and has not been in this month?", "How did October compare with last October?", "Which of my two branches renewed better this quarter?". Getting those answers usually means exporting to Excel and an evening of filtering.

GymLeb now connects to AI apps such as Claude, so you can ask those questions in plain words and get answers from your own gym's data. This guide explains what the connection can and cannot do, how to set it up, and how to keep it safe.

What it is

The GymLeb AI connector lets an AI app read your gym's data through a secure, read-only connection. Once connected, you open Claude and ask things like:

  • "Give me a morning briefing for today."
  • "Who has an unpaid balance, oldest first?"
  • "Which members expire in the next 7 days and have not renewed?"
  • "Compare revenue by payment method this month and last month."
  • "Who stopped coming in the last 30 days?"

The AI looks the numbers up through GymLeb's tools and answers in a sentence, a list or a table. Money figures come from the same calculations as your dashboard, so the AI and the dashboard agree.

What it can read

The connection covers the areas a gym owner asks about most:

  • Money: the dashboard overview, transactions, unpaid balances.
  • Reports: overview, profit and loss, revenue, cash flow, members, attendance, leads and WhatsApp, breakdowns, and staff performance if you have it.
  • Members: find a member by name and see their details, list members by status, expiring members, members at risk and members who lapsed.
  • Operations: follow-ups and leads, the class schedule, personal training, product stock, WhatsApp status and, with access control, door machines and access events.
  • Activity log: who did what in the dashboard (owner only).

There are also ready-made prompts for a morning briefing, a debt chase list, a monthly owner report and a renewal call list. They are a good way to start.

What it cannot do

This part matters as much as the first:

  • It cannot change anything. There are no write actions at all. The AI cannot add a member, edit a payment or send a message.
  • It does not hand out private details. Phone numbers, emails, dates of birth, health data, notes, WhatsApp messages, photos and staff pay are never returned. Members are found by name only, not by phone number or email.
  • It only sees what the person sees. A staff member who connects gets exactly their own permissions in GymLeb, checked again on every question. If you remove a permission, the next question already follows it.
  • Every question is logged. Each lookup is written to the owner's audit log under "AI apps".

How to connect Claude

  1. In the GymLeb dashboard, open AI apps in the sidebar and go to How to connect. The page shows the connector address.
  2. In Claude, open Settings, then Connectors, then Add custom connector. Name it "GymLeb" and paste the address.
  3. Press Connect. Claude sends you to GymLeb to sign in.
  4. Tick the gyms this connection may read, and press Allow.

That is all. Back in Claude, ask your first question. The same steps work in Claude's desktop app, and other AI apps that support remote connectors with sign-in can connect the same way.

Owners with more than one gym

One connection can cover up to 10 gyms, chosen on the sign-in page. You can then ask the AI to compare gyms side by side, for example revenue, new members and renewals for each branch this month. If you need to combine gyms that belong to different owners, each owner has to grant it first.

Who can connect

The gym owner can always connect. Staff can connect only if you give them the Connect AI Apps permission, and even then they see only what their own permissions allow. Personal trainers cannot connect.

Keeping it under control

On the AI apps page, Connected apps lists every connection: the app, who connected it, what it can read, when it was connected, when it was last used and its status. Revoke cuts an app off on its very next request. Connections that have not been used for 30 days are removed automatically, and each connection has a usage limit so a runaway script cannot hammer your account.

Good questions to start with

  • "Summarise yesterday: new members, renewals, money in by method, and anything unusual."
  • "List members whose membership ended in the last 14 days and who did not renew, with their plan."
  • "Which plans sold the most this month, and how does that compare with last month?"
  • "How much is owed to us, grouped by how old the debt is?"
  • "Which classes were fullest last week?"

Treat the answers like a smart assistant's: check anything surprising against the reports before acting on it.

Plans

The AI connector is included in every GymLeb plan. Some tools depend on add-ons, for example door events need access control and follow-ups need Staff Follow-ups. The AI apps page describes it in more detail, and the pricing page lists the plans. For anything else, see the FAQ or contact us.
