Expired or just late? Grace periods and renewal follow-ups for gyms

Tell late renewers from lost members, find who expires this week, and give your staff a daily follow-up list so fewer members quietly stop coming to your gym.

Every gym has two kinds of expired members. Some are just late: their month ended on Tuesday, they will pay on Saturday, same as every month. Others have stopped coming and will not be back unless someone reaches out. On a plain members list they look identical, so the desk either chases everyone (and annoys the loyal ones) or chases nobody.

GymLeb separates the two with a grace status, and gives you lists and follow-up tools to win back the ones who are drifting. This guide explains how it works and suggests a weekly renewal routine.

What "Grace" means in GymLeb

For seven days after a member's last membership ends, GymLeb shows them as Grace instead of inactive. The badge counts down the days left, for example "2d left". After seven days without a renewal, they show as inactive.

Grace is a label for your team, not extra time for the member:

  • The member is expired the moment their membership ends. With access control, the door already refuses them.
  • WhatsApp reminders and automations follow the real end date, not the grace label.
  • Members with personal training sessions still running are not shown in grace; they show as active with sessions.

What grace gives you is a clean split of the list. Members in grace are the ones to nudge politely. Members past grace are the ones to win back.

Find who is about to expire

The best renewal is the one that happens before the membership ends. On the All Members page, the filters include Expiring Today, Expiring in 3 Days, Expiring This Week, a custom number of days, and a date filter. The tabs split members into All, Active, Starts later, Inactive + Grace and Grace, with a count of how many are in grace right now.

A short daily habit works well: open Expiring in 3 Days each morning and greet those members by name when they come in. Combined with an automatic reminder a few days before, most regular members renew without any chasing.

The expired list

The Expired Memberships page lists everyone whose membership has ended and who has not renewed. From there you can export the list to Excel, or press Send monthly reminders to send the expiry message on WhatsApp to everyone on the list in one go, if your gym uses the WhatsApp add-on.

Use it once a month as a sweep. Some members simply forgot, and a single message brings them back.

Spot members before they leave

Expiry is the last moment to save a member. The first warning sign is usually that they stop coming. In Reports:

  • Attendance has an At risk list: active members with fewer than four visits in the last 30 days. They are paying but not coming, and they are the most likely not to renew.
  • Members shows churn (members lost and the revenue lost with them), the renewal rate, and a Win-back list of members who lapsed in the last 90 days, valued at today's plan price.

The win-back value is a useful number to share with your team: it turns "call old members" into "there is this much money in old members".

Turn it into a daily follow-up list

Lists are only useful if someone acts on them. The Staff Follow-ups add-on turns these signals into tasks. Every morning at 08:00 gym time, GymLeb creates follow-up tasks from rules you control:

  • Expiring: the membership ends within a set number of days (5 by default) and nothing newer was bought.
  • Win-back: a few days after the membership ended (3 by default).
  • Not visiting: no visit for 14 days.
  • Unpaid balance: money owed for 7 days.
  • Birthday, and New member check-in at day 7 and day 30.

Each rule's days can be changed, and any rule can be switched off. Expiring and win-back tasks cover monthly and longer plans only, so day passes do not flood the list.

Tasks go to the member's assigned staff member, or to a shared team pool. On Staff management, Follow-ups, each person sees their tasks for today, overdue and upcoming. Log contact records the channel (call, WhatsApp, SMS, in person), the outcome (renewed, no answer, wrong number and so on) and a note, and can set a follow-up date that creates the next task. A WhatsApp button opens a prefilled message.

When a contact is followed by a renewal or a PT package within 14 days, GymLeb counts it as a save. That is how you find out which of your staff actually bring members back, rather than who makes the most calls. The dashboard shows a short notice when follow-ups are due, so nobody has to remember to look.

A weekly renewal routine

  1. Every morning: check Expiring in 3 Days, and work through today's follow-ups.
  2. Every Monday: hand the At risk list to the desk and coaches. A "we missed you" message works better than a discount.
  3. Every month: review the Grace tab and the Expired Memberships page, and send one reminder sweep.
  4. Every quarter: look at churn and the renewal rate in the Members report and ask what changed.

Grace, the lists and the reports are included in every GymLeb plan. Staff Follow-ups is an add-on on the pricing page, included in the Pro plan. For definitions of churn and retention, see the glossary. If you also want to follow up with people who have not joined yet, read our guide to leads.
