From Instagram DM to member: tracking gym leads that actually convert

Walk-ins, Instagram DMs and referrals get lost in phones and notebooks. Track every gym lead on one board, follow up on time, see which source brings members.

A typical week at a gym brings in more interest than anyone writes down. Someone walks in at 8 pm to ask about prices. Three people message the Instagram page. A member brings a friend for a look around. A few of them join on the spot; most say "I will think about it" and are never contacted again, because their number is in one staff member's phone and that staff member is off on Thursdays.

Those people already wanted to join a gym. Following up with them is the cheapest marketing you will ever do. This guide shows how to track leads in GymLeb, convert them into members and see which channels are worth your money.

What counts as a lead

A lead is anyone who showed interest but has not bought a membership yet: a walk-in who asked about prices, a message on social media, a call, a referral from a member, a trial visit. If you would be happy to hear from them again, they are a lead.

The leads board

The Leads page in the sidebar is a board with columns for each stage of your pipeline. It starts with New, Contacted, Trial, Won and Lost, and you can rename, recolor, reorder or delete stages to match how your gym sells. Moving a lead is drag and drop: after the first call, drag them from New to Contacted; when they book a trial, drag them to Trial.

Keep the stages few and clear. A board with nine stages is a board nobody updates.

Adding a lead

Add lead asks for:

  • Name, the only required field.
  • Phone and Email, so anyone on the team can follow up.
  • Source: walk-in, referral, Instagram, Facebook, TikTok, website, phone call, WhatsApp, Google, an AI assistant like ChatGPT, or other.
  • Stage.
  • Received on, which defaults to today and can be set earlier if you are entering last week's walk-ins.
  • Notes, for what they asked about, their goal, and when to call back.

The source is the field people skip and the one that matters most later. Make it a rule at the desk: no lead without a source.

The board has search and filters by status, source and received date, so "everyone who messaged on Instagram this month and has not joined" is two clicks.

Converting a lead into a member

When a lead decides to join, use Convert to member on their card. The new member form opens with their details already filled in. Once you save the member, the lead is marked as converted and linked to the new member, and it cannot be converted twice by mistake.

That link is what makes the reporting honest: GymLeb knows which members came from which lead, and which source that lead came from.

Which channels bring members

In Reports, the Leads & WhatsApp report has a lead funnel: leads by source, how many became members, the conversion rate, and what those members have paid. This is where marketing decisions get easier. If Instagram brings many leads that rarely join, while referrals bring fewer leads that almost always join, a referral offer for existing members may beat another month of boosted posts.

Look at it per month and compare. One month is noise; three months is a pattern. The reports guide covers the other reports alongside it.

A follow-up rhythm that works

Software keeps the list; people do the following up. A simple rhythm that suits most gyms:

  1. Same day: every walk-in and message goes on the board before the shift ends.
  2. Within 24 hours: a short call or WhatsApp to everyone in New. Answer their question, invite them for a trial or a visit. Drag them to Contacted.
  3. After a trial: a message the next day asking how it went, with the plan that fits what they told you.
  4. After a week: one more follow-up for anyone still undecided. Then move on.
  5. Once a month: review the Lost column. A different offer in a different season sometimes works.

Use the card's notes to record each contact, so whoever is on shift knows what was already said. Nothing loses a lead faster than three staff members sending the same price list.

After they join

The work does not stop at the sale. New members are most likely to drop out in their first weeks. With the Staff Follow-ups add-on, GymLeb creates check-in tasks for new members at day 7 and day 30, along with renewal and win-back tasks later on. Our guide to grace periods and renewal follow-ups explains that side. A welcome message on WhatsApp when they join is a good first touch too.

Tips

  • Ask "how did you hear about us?" every time. It costs nothing and feeds the funnel report.
  • Respond fast. Someone asking about prices at 9 pm is also asking two other gyms.
  • Keep trial visits on the board. A trial without a follow-up is a free workout, not a sale.
  • Do not count members as leads. Renewals belong in your renewal routine, not your leads board.

The leads board, conversion and the lead funnel report are included in every GymLeb plan. See the pricing page for plans and add-ons, or contact us to see the board with your own pipeline.
