How to track partial payments and unpaid memberships at your gym

Members who pay half now and the rest next week are normal. Here is how to record partial payments, see who still owes you and keep revenue on the right day.

Ask any front desk in Lebanon how members pay and you will hear the same story. Someone renews for three months, pays 50 dollars today and promises the rest on Friday. Another member takes a PT package and pays by Whish half way through the month. A third says "write it down, I will pay later".

None of this is unusual. The problem is keeping track of it. A notebook or a WhatsApp chat with yourself works until the gym has a few hundred members, two shifts and more than one person taking money. Then balances get lost, nobody knows who collected what, and the monthly total in the spreadsheet never matches the cash in the drawer.

This guide explains how GymLeb records partial and unpaid memberships, how to collect the balance later, and why the date a payment lands on matters for your reports.

Recording a partial payment when you sell a membership

When you add a member or renew a subscription, the payment part of the form gives you two options next to the plan price:

  • Partial payment: tick it and type what the member is paying now. The amount cannot be more than the plan price.
  • Will Pay Later: the member pays nothing today and the full amount is recorded as owed.

The two options cancel each other, so a sale is always one of three things: Paid, Partial or Unpaid. That status is shown as a badge in the Payment Status column of the Transactions page and on the member's page, so whoever is at the desk can see it at a glance.

You also choose how the money came in. GymLeb currently offers Cash (the default), Whish and OMT, plus Mixed when one payment is split across methods, for example 30 dollars cash and 20 by Whish. For a mixed payment the parts have to add up exactly to the amount paid, so the split never drifts from the total.

Collecting the rest later

When the member comes back with the balance, open the transaction and click its Partial badge (or Update Payment). The dialog shows three numbers: Total Amount, Paid Amount and Remaining. Type the new amount in Add Payment Amount, pick the method, check the Payment Summary and press Add Payment, or Complete Payment if it settles the balance.

A few safeguards are built in:

  • You cannot record more than what remains. Over-payments are refused, so a typo cannot turn into a fake credit.
  • An unpaid transaction is settled from its Unpaid badge with Mark as paid. You pick the payment method and the Paid on date.
  • Paid on defaults to now but can be set to an earlier day, for example when a member paid on Saturday and the desk only entered it on Monday. Only the owner and staff allowed to edit transactions see this field.

Every payment is its own record

Behind each transaction GymLeb keeps a payment history: one line per payment, with the amount, the date it was paid, the currency, the method and the staff member who received it. A membership paid in two installments shows Payments (2), and clicking it lists both.

This matters more than it sounds:

  • Who took the money is never a mystery. If the drawer is short at the end of a shift, you can see which payments each staff member received.
  • Mistakes are fixable without starting over. Each payment can be edited (amount, date, method) or deleted on its own.
  • Refunds do not rewrite history. Marking a paid transaction as unpaid adds a negative refund line on the refund date. The original payments stay on their days, so a month you already closed keeps its numbers.

The member's page has a Payment History tab that shows the same lines, so when a member asks "how much do I still owe?" the answer is on screen instead of in someone's memory.

Why the payment date matters for your revenue

Here is a common trap. A member signs up on the 28th and pays on the 3rd of the next month. If your software counts revenue on the day of the sale, last month looks better than the cash you actually collected, and this month looks worse.

GymLeb counts revenue on the day each payment was made. Reports and the dashboard add up the payment lines by their paid date, so an installment collected next month lands in next month. On the Transactions page you can switch between By created date and By payment date depending on the question you are asking: "what did we sell?" or "what did we collect?".

If you want the full picture of what is coming in and going out, the reports guide explains the cash flow and profit and loss pages that are built on these same payment lines.

Seeing who owes you money

Balances are only useful if someone chases them. GymLeb gives you three places to look:

  1. The dashboard card "Unpaid & Partially Paid Transactions" lists everything still open. From there you can export the list to Excel or press Remind Users to send a reminder to everyone selected.
  2. The "Owed to you" figure in Reports shows the total balance, and the Cash Flow & Debts report groups it by age: 0 to 30 days, 31 to 60, 61 to 90 and over 90 days. Old debt is the debt you are least likely to collect, so start there.
  3. Each member's page shows their open items, including products bought on credit at the point of sale.

Reminders go out as a notification in the member app. If your gym has the WhatsApp Automation add-on and the message switched on, they also go out on WhatsApp. More on that in our guide to WhatsApp expiry reminders.

Closing the day: the cash drawer summary

At the end of a shift, the Today's Transactions card on the dashboard has a Print summary button. It prints revenue, expenses and net per payment method, a breakdown by currency as paid, and the cash that should be in the drawer. You can print it for everyone, for one staff member or just for yourself. It is a simple habit that catches mistakes on the same day, while people still remember what happened.

Tips for a cleaner money routine

  • Agree on one rule for the desk. For example: nobody leaves with an unpaid membership unless it is marked Will Pay Later in the system. A rule only works if the software makes it easy to follow.
  • Use the Paid on date honestly. Backdate only when the money really came in on that day. Your monthly totals depend on it.
  • Review the 90+ days group once a month. Call those members or write the balance off, instead of carrying it forever.
  • Pick the right method every time. Cash, Whish and OMT totals are what you compare against the drawer and your wallet apps.
  • Give staff only the rights they need. Backdating a payment needs the permission to edit transactions, so you decide who can change the history and who only takes money.

Where this fits in GymLeb

Partial payments, the payment history and the unpaid list are part of every GymLeb plan, not an add-on.
